Please find the catering proposal for your event on March 16, 2012.  Again, thank you for your patience.

 

The catering proposal has been divided into two sections – the first section lists the food and beverage that will be offered for the general party during the Lexus Presidents Club portion of the event. The second part of the proposal outlines the offerings for the VIP reception event that will be taking place in the Clubhouse for two hours.

 

I look forward to speaking with you over the phone once you have had a chance to review both the venue and catering proposals. Please let me know when it is convenient for you to go over all of your options.

I am terribly sorry for the delay on this.  We are waiting on a final piece, for the food and beverage, which we will receive tomorrow morning.

 

In the meantime, I have attached a proposal for the venue for you to review.

 

We created this document by envisioning two price tiers for you.  The first is the general party in the Lexus Presidents Club.  You can include the batting practice with this group, or use that for your VIP Experience if you would like.

Our proposal totals $50.00 per person, but that is if each of the 200 people are taking on the costs of the clubhouse and batting practice, rather than just the 50 or so people who might go for the VIP.  Here is the breakdown:

 

Tier 1: 150 guests $125 per person in the Lexus Presidents Club for the 8 hour experience (include access to batting cages?)

Venue costs: $50.00 per person

Food & Beverage costs: $75.00 per person (we are using this as an estimate but please let me know if it is not the right number)

 

Tier 2: VIP for $50 people at $250 per person.  This will include access to the clubhouse for two hours.  We were thinking of using it as during and “after dinner” time, so you could also include the cognac bar or cigar rolling.

Venue costs: $50.00 per person

Jersey: $100.00 per person

Food & Beverage costs: $75.00 per person

Cognac Bar add-on: $25.00

We are really on deadline to lock-in a venue for our March 16 event.  I'm sure you, working in the event planning business, can appreciate our concern being just 3 months out and not having locked-in a venue.

 

We were hoping to get your proposal a day or two after our November 29 meeting, as was indicated.

 

Could you please send over the proposal as soon as possible?
