2011 Annual Fairness Award - Host Committee Conference Call

*Summary of the Meeting*

KT: Thanks host committee for everyone's time and support. Our goals for
this event are: we would like to raise between $250,000 and $300,000. Last
year we had the support of NBC as a corporate sponsor who underwrote the
event.


This year, we hope to have 3 Corporate Sponsors. Beyond this, we are looking
to the Host Committee to help in identifying and reaching out to
corporations, organizations, and individuals. Aalap Shah and I will be on
hand to help you in anything you need to reach this goal.


Here is what we have:

1. Corporate Outreach List: GFI has prepared a list for sponsorship
outreach. The list was developed with corporations and organizations that
have previously supported us or corporations that we think are aligned to
our cause and mission.

2. Sponsorship package: We have sent each Host Committee a number of
documents that allow you to reach out to individuals and organizations. The
package includes sponsorship levels to help the donors come in at certain
levels and receive certain benefits. *We also have an example of a letter
that the Host Committee can send if you would like us to send this to you *

3. Social Media: GFI will be finalizing the following tools at your
disposal for your outreach (Fairness Award website, facebook page, linked
in, and twitter). *Please let us know if you need anything else from us.*


Next Steps for each Committee Member:

1. First review the Outreach List. If there any contacts you have at any
of the companies, please let us know so that we can coordinate outreach

2. Are there any companies or organizations that are not on the list? If
so, please let us know. If you have a contact there – we can add this to the
list. If you have a company in mind but do not have a contact – please let
us know too! GFI can use our shared resources to identify the correct
strategy to approach the company.

3. As a Host Committee member – think about individuals you may know as
well. These individuals can come in at any level.


Once you gather company names, contacts, and individuals – please email or
call Aalap Shah with this list in the next week. Aalap will then collate
everyone’s responses – and reach out to each Host Committee member
individually around outreach and next steps. This coordination will help
ensure there are not duplicated processes, conflicting messages, and
misaligned outreach.

outreach, research, tools, and organization. Karen is also available at all

We hope to have another 30 minute call at the end of July to check-in on our
progress and proceed with our continued outreach.

*Questions raised during the Call:*

Q: Can we tie in other GFI fundraising events to the Fairness Award? Or
similar to past GFI events, is there an opportunity to have a large amount
of people each give a small amount (such as $50).

A: Many of the GFI events that bring in individual donors are targeted for
program-specific donations. And as this fundraiser is for our operating
budget, we hope to raise individual and corporate donations specifically for
GFI as a whole through the Fairness Award event.

Q: Will there be a cost associated to the event itself?

A: Currently the event is budgeted at a $35,000 cost. We will most likely
charge a tiered ticket price for entry into the event to cover this cost.
However, if there a sponsor who donates above a certain sponsorship level –
then that donor will have a certain amount of premium tickets for free.

Q: Have we allocated money for marketing or advertising expenses? How will
be doing outreach for the Fairness Award event?

A: Last year we had 2300 guests for the event – and this occurred through
targeted outreach and publicity of organizations, individuals, past
supporters, etc. We are looking to specifically target individuals and
corporations for fundraising and helping to attend the VIP reception. For
the general admission, we will be outreaching through different channels
(including past strategies, social media, and engaging with large
organizations in Washington D.C.). We also have had events in the past, like
Las Vegas, where we bought radio ad space and had interviews with NPR. This
helped get the word out about the event.
