Dear crew families:


Reminder again that there are no rooms at this point available for Thursday
night for crew families (with the exception of drivers, see below), only
Friday night. If you use the hotel link and try to put in dates other than
5/20-5/21, the system says "no rooms available", so just try again with only
the one night and there should still be rooms.


We have 20 rooms booked for parents, which in the past was plenty, however,
this year there seems to be more enthusiasm for going, so please be sure to
go on ASAP to book your room (at the latest 4/19 midnight) to ensure a room.


If we run out some of us have friends and family in the area to stay with
and we can start doing that, and/or try hard to find more rooms in a nearby
hotel.

Subject: TIME SENSITIVE Stotesbery hotel and payment information

Dear Sidwell crew families:


There are a number of time-sensitive tasks that need to be taken care of for
the Stotesbury regatta:


1) Hotel reservations for families: Parents should use the link below
to reserve a hotel room for Friday night May 20th. The hotel is the Crowne
Plaza Philadelphia Downtown, 1800 Market Street, Philadelphia, PA 19103. We
have negotiated a rate of $129.00 per night, which for a downtown
Philadelphia hotel is very competitive. For Stotesbury veterans, this is
NOT the hotel we have stayed at for years previously, we finally decided the
other hotel was just too scuzzy, and this hotel offers many advantages,
including location closer to the river, a reasonably-priced team dinner
Thursday evening, and a much nicer ambiance (no interstate noise!). The
rowers share rooms with each other arranged and paid for by the team, in the
same hotel, and do not need to be taken into account by families reserving
rooms. We have already reserved rooms for the rowers, you ONLY need to
reserve a room for the family if you are planning to go up and watch the
races. Families generally stay only one night (Friday). Even if boats race
on Saturday, the regatta is finished by mid-day.

RESERVATIONS MUST BE MADE BY APRIL 20th, the block will be released after
that time, and with graduations and Stotesbury, hotel rooms that weekend are
at a premium, so please be sure to reserve ASAP. The room can be cancelled
up until the day of arrival without penalty.

There are no additional rooms available for Thursday night May 19th. Looking
at the usual race schedule, no Sidwell boat should be rowing in a race
before mid-late morning Friday, therefore driving up Friday morning for
families will be fine.


Potential drivers for Thursday: We are still awaiting word from Sidwell's
bus insurer regarding whether we will be able to take the two small school
buses up to Philly. For right now reserve a room for Friday, and I am
holding a few of the team block rooms from Thursday to accommodate drivers
if necessary (several drivers also have other places to stay in Philly).
Potential drivers (culled from the list of volunteers who have vans or SUVs
and have been to Stotesbury before) include Mark Wagner, Liz Britton, Carol
Boochever, Burr Gray, Jennie Feldman, myself. Thanks to others who
volunteered (Agnes, Gus, Polly)- we likely won't need you.


2) Payment: It is time for each rower to make their Stotesbury
contribution. We have to pay for the hotel, the entry fees and other costs
in the next several weeks. The amount will be $325 per rower, covering rower
transportation, tent/hay rental, tent food and drink (for all, no extra
lunch charge for families this year), rower and coach hotel, rower and coach
meals. Dinner on Friday night will be a team/family event at an Italian
restaurant near the hotel. The charge per family member attending Friday
dinner will be $20. Please either mail a check made out to Sidwell Friends
School Crew to P.O. Box 5913, Washington, DC 20016. Alternatively, bring
the check to hand to Sharon Fong at morning practice drop-off this week on
Wednesday (the 13th) or Friday (the 15th), or bring the check to the crinner
(at my house) this Friday and hand it to me. Please include $325 plus $20
per family member attending the Friday night dinner (if you are unsure about
the dinner, you can ask to be added later and pay $20 that night). If
payment constitutes a hardship, please contact Liz Britton to request
assistance.
